Run your gear swap without the spreadsheet chaos.

Gear Swap App handles intake, pricing, checkout, and payouts for ski, snowboard, and outdoor gear swaps — built by club leaders who were tired of sharpies and painters tape.

Built for volunteer-run clubs, teams, and outdoor programs — not big retail.

HOW IT WORKS

Three stations. One system.

No separate spreadsheets to reconcile at the end of the night — every station reads and writes the same event in real time.

1

Intake

A volunteer logs the seller, category, condition, and price, then prints a tag with a scannable QR code right at the table.

2

Checkout

Buyers bring items to the register. Scan the tag, attach the buyer, done — no calculator, no carbon paper.

3

Settle up

Seller cuts and commission are calculated automatically, and you export one clean spreadsheet for your treasurer.

EVERYTHING ON ONE FOLDING TABLE

Built for how swaps actually run.

On-site tag printing

Print a scannable price tag the moment an item is logged — no pre-printed rolls to run out of mid-event.

Shared volunteer logins

One PIN per station. Volunteers rotate shifts all day without anyone managing individual accounts.

Members that carry over

Your roster persists year to year, so returning sellers don't get re-entered from scratch every season.

Real-time inventory

Admins watch what's been logged, sold, and left unsold as it happens — from any device, anywhere in the room.

Payouts done for you

Commission and seller cuts are calculated automatically — nobody's doing that math by hand at midnight.

One-click export

A finished spreadsheet, ready for your treasurer — no manual reconciliation after the doors close.

LABELS, SIZED ON PURPOSE

Every label fits a standard 2.4" × 3.9" hang tag.

Large enough to read the price across a folding table, small enough to hang cleanly from gear — or stick directly onto a ski, boot, or helmet when there's nothing to hang it from. It's not locked to one printer: any printer in Brother's QL series (and others, with a bit more setup) handles it.

We don't want a printer hiccup to be the thing that makes event morning stressful, so we wrote a guide for getting one connected and printing your first label cleanly, well before doors open.

OUR STORY

Built running our own club's swap.

Gear Swap App started as the system behind one club's ski and snowboard swap — printer jams, volunteer shift changes, and all. Every feature exists because a volunteer needed it at the folding table, not because it looked good on a roadmap.

We're opening it up to other clubs, teams, and outdoor programs running their own secondhand gear swaps.
